Tax preparation, bookkeeping, payroll, and business advisory from a Scottsdale firm with over 30 years of experience serving Arizona businesses and families.

Tax Preparation & Planning

Comprehensive tax preparation for individuals, partnerships, S-corps, and C-corps. Our Enrolled Agent and CPAs identify every legitimate deduction and credit, then build forward-looking strategies to reduce your liability year after year.

Bookkeeping & Financial Reporting

Accurate monthly bookkeeping, bank reconciliation, and financial statements you can actually understand. We keep your books clean so you can make confident decisions and stay audit-ready.

Payroll Services

End-to-end payroll processing including direct deposit, federal and Arizona state withholding, quarterly 941 filings, and year-end W-2 and 1099 preparation. Fully compliant, fully hands-off.

Business Advisory & Entity Structuring

Data-driven guidance for business owners at every stage. Cash flow forecasting, entity selection, succession planning, and strategic advice grounded in three decades of real-world experience.

Estate & Trust Tax Services

Specialized estate and trust return preparation, including Form 1041 filings, beneficiary distributions, and coordination with estate attorneys. We help families navigate complex tax obligations with clarity.

At Caldwell & Associates, every client works directly with a credentialed professional — not a seasonal preparer. Our team includes a licensed CPA, an Enrolled Agent with IRS representation rights, and a QuickBooks ProAdvisor who keeps your books running clean year-round. We take the time to understand your goals, answer your calls, and deliver advice you can act on.

Testimonials

★★★★★

After my mother passed, I had no idea how to handle the trust distributions or estate return. Rick walked me through every step, coordinated with the attorney, and filed the 1041 on time. Compassionate, professional, and thorough.

Rick has handled our tax planning for 12 years. He understands depreciation schedules, 1031 exchanges, and the nuances of rental income better than anyone we've worked with. The year-round availability is what sets this firm apart.

We came to Caldwell & Associates with a mess — two years of unfiled returns and a shoebox of receipts. Patricia got us current within 60 days and Rick restructured our entity to save us over $18,000 in self-employment tax. They turned a crisis into a fresh start.

Daniel set up our QuickBooks from scratch and trained our managers on daily reconciliation. For the first time, I actually know my food cost percentage and labor numbers in real time. Their payroll service has been flawless — no more scrambling before quarterly filings.

What types of tax returns does the firm prepare?

We prepare individual returns (1040), partnership returns (1065), S-corp returns (1120-S), C-corp returns (1120), trust and estate returns (1041), and nonprofit returns (990). We also handle amended returns and multi-state filings.

What is an Enrolled Agent, and how does it benefit me?

An Enrolled Agent (EA) is a federally licensed tax practitioner with unlimited rights to represent taxpayers before the IRS. Unlike many preparers, our EA can handle audits, appeals, and collections matters on your behalf — giving you an advocate if the IRS ever comes calling.

How does your bookkeeping service work?

We connect securely to your bank and credit card feeds, categorize transactions monthly, reconcile all accounts, and deliver a full set of financial statements — balance sheet, profit & loss, and cash flow — by the 15th of the following month. We use QuickBooks Online, but can work with other platforms.

Do I need to come into the office, or can we work remotely?

Either way works. We serve clients across Arizona and several other states entirely via our secure client portal, screen-sharing, and phone. Local clients are always welcome to meet in person at our Scottsdale office.

When should I start tax planning instead of just filing?

Ideally, mid-year. A proactive tax planning session in June or July lets us project your annual income, adjust estimated payments, time major purchases, and maximize retirement contributions before December 31. Waiting until April means the best strategies are already off the table.

How are your fees structured?

Individual tax returns start at $275 and vary by complexity. Business returns, bookkeeping, and payroll are quoted after a brief consultation so we can tailor the scope to your needs. We provide a written estimate before beginning any engagement — no surprises.
